Set Up a Web Event Using Resources

How to set up a web event using products, product maps, resources, and resource views so the correct items appear on your website.

This article explains how to configure a product for web use, link it to a product map, assign that product map to a resource, and add the resource to a resource view for website display.

πŸ“ŒNote: Do not use non-alphanumeric characters in product map or resource names, as these may be treated as control characters.

Set Up the Product

  1. Open the Stock module.

  2. Click Products/Pricing, then click Products.

  3. Select an existing product that needs to appear on the website, or create a new product.

  4. Click the Used Defined tab.

  5. Select the Web item field to mark the product as available for website display.


Set Up the Product Map

  1. Open the Bookings module.

  2. Click System Settings, then click Product Map Edit.

  3. Create a new product map, or select an existing product map to use.

  4. Enter a clear name that identifies the product map as being for online products.

  5. Select the product map, then click Edit.

  6. In the product map details screen, click Enter edit mode.

  7. Click Insert a new line, then use the drop-down list to select the products you want to sell online.

  8. Click Save details and close when you have finished building the product map.

πŸ€“ Tip: It often helps to name the product map in a way that clearly shows it is intended for online use.


Set Up the Resource

  1. In the Bookings module, click System Settings, then click Resource Edit.

  2. Create a new resource, or select an existing resource to use.

  3. Enter a name for the resource, making sure it does not contain non-alphanumeric characters.

  4. Select the resource, then click Edit.

  5. In the resource details screen, use the Product map drop-down list to select the product map you created earlier.

This product map controls which products the resource can display on the website.

Set Availability and Capacity

If you are setting up an event, you may also need to configure availability, date restrictions, and capacity.

  1. In the resource details screen, click the Availability tab.

  2. Set the resource capacity to match the location capacity limit.

  3. If the resource is only available on certain dates, click Enter edit mode, then click Insert a new line.

  4. Enter values in Valid From, Valid To, Days Available, and Capacity as required.

  5. Enter the date range during which the resource should be available on the website.

πŸ“ŒNote: If you do not enter a date range, the resource will not be available for purchase on the website.

Add Date Restrictions

  1. Click the Restrictions tab.

  2. Click Enter edit mode, then click Insert a new line.

  3. Enter the required values in Restrict From, Restrict To, and Days Restricted.

πŸ“ŒNote: Restriction dates override availability dates. This allows you to set a larger valid date range and then block specific dates within it.


Set Up the Resource View

  1. In the Bookings module, click System Settings, then click Resource View Edit.

  2. Create a new resource view, or select an existing resource view to use.

  3. Select the resource view, then click Edit.

  4. In the resource view details screen, click Enter edit mode.

  5. Click Insert a new line, then use the drop-down list to select the resources you want to show in this view.

  6. Click Save details and close when you have finished configuring the resource view.


Check the Website Resource View

The website uses the resource view to determine which resources, product maps, and products are available online.

  1. Confirm which Resource View the website is currently using.

  2. Check that the correct resources, product maps, and products are included in that view.
